Summary of Duties and Responsibilities:

The Behavioral Health Administrative Specialist assists the behavior health team in various administrative duties.

Responsibilities

Primary Duties and Responsibilities

  1. Updates information and makes changes as necessary in (EHR).
  2. Contacts new in-house referrals within two business days to ensure maximum scheduling of patients.
  3. Contacts urgent referrals within 24 hours.
  4. Closes the loop on in-house BH referrals. This can be by scheduling patient, having had multiple failed attempts to contact patient, or documenting patient has declined services.
  5. Follows up on BH referrals outside of Variety Care to close referral loop.
  6. Communicates professionally with outside referrals sources regarding patients and referral process.
  7. Schedules appointments in EMR.
  8. Calls billing assistance to help patient with balance owed questions.
  9. Follows HIPAA guidelines and Variety Care Privacy policy and procedure.
  10. Supports Variety Care’s accreditation as a Patient Centered Medical Home and our commitment to provide care to all Variety patients that is Safe, Effective, Patient Centered, Timely, Efficient, and Equitable. Provide leadership and work with all staff to achieve the goals of the “Triple Aim” of healthcare reform—to improve the experience of care, improve health outcomes, and decrease healthcare costs.
  11. Embodies the strength of personal character.   12. Performs other duties as assigned.

 Additional duties related to backup coverage for Medication Management MA:

  1. Calls in scripts as requested by physician .
  2. Ensure patient signs RX Use Agreement Contract.
  3. Fax scripts and refill requests.
  4. Escort patients to and from physician’s office.
  5. Measures and records vitals.

Qualifications

Requirements, Special Skills or Knowledge:

  1. High School Diploma or GED.
  2. Bilingual (English/Spanish).
  3. Expert handwriting and basic mathematic skills.
  4. Experience working with the public.
  5. Basic data entry and keyboarding skills.
  6. Experience communicating with patients and staff.
  7. Experience handling confidential information.
  8. Experience working in an active and stressful environment.
  9. Experience working with difficult patients occasionADA Requirements:
  10. Able to lift at least 25 pounds.
  11. Able to bend, reach lift as needed to file or retrieve medical files
  12. Able to concentrate and prioritize work.
  13. Able to sit for long periods of time.
